Minutes
November 2, 1999

 

The meeting was called to order at 7:15 PM by President Steve Niver at the home of  Sandra Suzuki.

Opening Comments:

The next meeting will be held at the home of Karl Seeger on December 2, 1999.

Committees:

Election Committee:

A meeting was held by the election committee and there will be another meeting in two weeks to narrow down the possibilities.

By-law committee:

A meeting was scheduled but had to be canceled.  This committee will meet after mid-November.

ACA/CCA Committee:

Representatives from our club have been invited to attend the CCA meeting in San Diego next weekend.  Board members attending will be Steve Niver, Lance Richert, David and Lucetta Lightfoot.  These board members would like to present any questions and scenarios from board members, especially those who manage specific areas, regarding the effect that a merge would have on our club.  Lance has printed booklets with photos to take to San Diego to show and tell what our club is all about.  Much of the information used in the booklet will also be used on our web site.  Steve needs to collect all questions by Thursday and his goal is to return from San Diego with the answers to all of the questions.

Web Committee:

The official launch date for the site is December 1st, 1999.  The site is progressing well and looks beautiful.  Jill and Dale have had the site up for approximately 24 hours and there have been 5 inquiries.  The inquiry form automatically goes to Lance and Greg.

Treasurer:

Currently we have $17,500.00 in bank as compared to $13,800.00 at this time last year.

Roster/Membership:

*We currently have approximately 1060-1070 members.  Greg did not bring the roster.

*Lance passed around the new comp cards.

*Plastic holders for comp cards will be ready by the middle of next week.

*There was a discussion of how to handle information requests.  Because the information is currently being sent by bulk mail it sometimes takes a period of time before it is mailed out.  We discussed the cost of mailing the information immediately at first class rate.  Lance would like to try sending them out immediately to see if it makes a difference in membership.  He gets about 10-15 requests per month.  The difference between first class and bulk is $1.00 versus $.20.

*In the past, Lucetta has made phone calls to members who have allowed their memberships lapse.  She found that most all of them had legitimate reasons, such as, they moved to another state, no longer owned a BMW, death.

*Greg has done a bulk e-mail mailing of 296 addresses and got 33 back as invalid addresses.

Banquet:

*Rick would like everyone to obtain verbal commitments from donors.  Rick would like to list the names of donors in a Zundfolge article.

*Discussed a “Y2K discount” for early registration.  Cost will be $50.00 per for early registration and $55.00 for late registration.

*The club will donate $1,000. from the profits to Children’s Hospital.  We will also have a NW Harvest basket and ask that members bring canned food.

*The auctioneer that was used last year was Ed Lagart and we would like to have him again this year.

Track:

*Nov/Dec issue of Zundfolge will run a year end track article.

*Jacqueline said that dates at SIR for year 2000 were difficult to obtain due to the track's commitments to meet all car and race club's needs.  Currently we have no date in June for lapping. But we were successful  in obtaining our requirement for Sundays.  The dates set now are May 7th (Driving school at Bremerton Raceway is May 5th), July 23rd, and August 27th.  The date tentatively set for the Concours is July 22nd.

Since our members can already attend the Portland ACA Chapter's lapping days, she would  like to contact Mission and see about joining with the BC club for a June lapping day.  We lost our Laguna Seca lapping days to Skip Barber.  There is a possibility of picking up a day in November at Laguna Seca.  Bill Spornitz recommends checking for a date at Sears Point.

*There will be an instructor clinic tentatively scheduled in March at SIR.

*A letter has been submitted to the port regarding the selection process at Bremerton Raceway.  The current selection process has been viewed as unfair by many.  The letter suggests that the process be reconsidered but it is still up in the air at this time.

*Jacqueline would like to schedule a teen driving school on a weekend - date to be determined.

* It was noted that earlier dates in October at Bremerton proved to have better weather. This years last school was great - no rain!. We'll try and schedule next year's school accordingly.

*Two teenagers took our driving school in October and both improved their driving skills noticeably by the end of the day.  One of the teens received extra credit from her high school for taking the driving school.

*The track schedule won’t be published until January 2000.

Zundfolge:

*The Nov/Dec combined issue will feature track events and member racing. 

*Deadline is November 12, 1999.

*Tentative calendar for 2000 in process.

Roundabout:

Sandra:  Pass

David:  The weekend before last weekend Mario Andretti was in town for a fund raiser.  He was at SIR giving 2 laps in the Park Place Elise for $1,000.00.

Lucetta:  Pass

Brian:  Brian has driven the Park Place Elise at SIR.  It is not street legal.

Bill Linder:  Pass

Rick:  Get auction items and commitments!

Greg:  Took a count of how many members would like a copy of Office 2000.  He will e-mail the price schedule to everyone as soon as he has it.  Dale and Jill worked quickly on the web site.  In the future we will be posting the minutes on the site.  At the next board meeting Greg will be able to better report on the site. 

Jim Millet:  Pass

Bill Spornitz:  We need to make a decision on the date for the Concours by January.  Having the show on Saturday and a lapping event on Sunday would be the preference.  Possible date is July 22nd.  Robinswood will be considered for location.

Karl:  There will be three tours planned for 2000, a two day wine tour at the end of April, a one day Olympic Peninsula tour mid-year, and a two day Octoberfest.  There are two new karting facilities in the area, one in Southcenter and one in Redmond.  Karl will ask them for banquet donations while checking into having a karting event for February.  Karl has not heard back from his contact regarding rallying and Lance knows a new member who would like to help out and has experience.

Lance:  Griot’s Garage event is scheduled for February so that will need to be coordinated with any potential karting event.  VRM event scheduled for mid-March.  Lance went to the SIR public meeting.  Many citizens are complaining about the noise generated by the race track and want to see something done about it.

Jacqueline:  Jacqueline has a new member who would like to help out with flagging.  Many members turned out to volunteer for our last driving school.

Club Promotion Ideas Record:

Ideas discussed at August 1999 meeting:

Jacqueline: Charity.  1-2 people assigned to manage and coordinate charity events.  Coordinate directly with the charity its self and advertise in the magazine.  It was suggested that we run an article in the magazine to find someone who would be interested in this position.

David:  Wants Roger and Steve to head a committee for a BMW Club golf tournament.

Lucetta:  Discussed club T-shirts with BMW ACA logo.  Discussed changing the logo, color, size, and rules against certain changes.  Lucetta has someone who will present a proposal and Jacqueline will check with her “banner people” for a proposal also.  She gets 30% discount.  Steve will bring an in-flight magazine to compare those prices as well.  We can advertise the shirts in the magazine.

Ideas discussed at September 1999 meeting:

T-shirt costs/styles were discussed:                             White with blue silk screen.

There will be an additional $1.00 per shirt charge for a colored shirt.

Lucetta will look into the embroidery/single shirt company which will have the club pay set up fees and then members may come in themselves and buy shirts with club logo by showing their membership card.

Steve checked the In-Flight magazine for shirt prices but they were much higher.

Jacqueline will check with her banner company for pricing also.
