Lucetta reports they have had 3 committee meetings. They did tax and incorporation research. The bylaws must comply with local, state and federal requirements. They hope to have draft copies for everyone to review at the April Meeting.
General
Meetings:
Brian reports that the Karting event was a success. 48 people showed up to drive. They had planned on 40 max. Luckily the facility was able to put two additional karts on the track. Prizes were given away afterwards compliments of Vance at Seattle BMW and pizza was served during the event compliments of Lance Richert.
The New Members’ Party will be April 10. Brian asks that everyone show up with an outline of what they will say so everyone will have something meaningful to say. He would like to mail postcards to all new members from Jan 1998 onwards. The cost will be around $75. Motion to send postcards was approved.
Emerald Downs day will be Saturday, August 7 from 1-5 PM. The cost will be $75 per person with 30 people minimum required to attend. BMW Seattle will sponsor the event for $1,000. This subsidy will lower the cost for the first 30 people to $45 per person. Anyone signing up after the first 30 will be charged $75.
Ray K. reports that Strictly BMW has opened a vintage shop and he is working with them on a tech program utilizing their new space. He is looking into a stereo installation in the fall. A ladies tech session is tentatively scheduled for October 24th at Bellevue BMW. A Dyno tech session was discussed including various formats for the tech session. Ray will look into the options including seeing if Jim Conforti of chip fame can attend.
Special
Events:
Evie gave a post banquet report. She would like to see the bid sheets re-designed with predetermined bid amount increments for the silent auction and also provide a printed program for the live auction. The program would require getting auction items soon enough so a program could be created. She says a couple of people indicated that a few more things for women to bid on would be nice.
Ray reported for Bill that The Lid on Mercer Island has been reserved for the Concours. If we choose not to use The Lid we will be out a deposit of $35 dollars. He is also looking into possibly using Robinswood Park in Bellevue. It is on 148th Ave. near I-90. He is also looking into the cost of buying a canopy versus renting one each year.
Track
Events:
Jacqueline reported that the Instructor’s Clinic had 42 drivers on the track. 60 people total participated. We have 37 BMW instructors signed up to work this year.
The May 7th Bremerton school will be $75 and the May 9th Novice School at SIR will be $100. Bremerton will enroll 40 students. SIR will have around 75. Bremerton will cost $190 to rent. SIR will cost around $4,500.
Jacqueline proposes buying some new equipment. She would like to get 50 orange cones at $5 and $7, 6 fire extinguishers at around $18. She is also looking into radio options and a banner. Motion passed to spend $500 on orange cones and fire extinguishers.
Tom Cox has volunteered to coordinate the activities of the corner workers.
Portland ACA has a new person (Albert Cook) running their lapping days. Lance will coordinate with Albert regarding any new policies he sets in place. Albert works at Rasmussen BMW in Portland.
Treasurer:
Roger reports that the next two months will be lean. He needs $3,000 from the Track Committee.
Roger will try to split the insurance payments although he is not optimistic. Last years insurance was $5,000. Motion passed for Roger to re-up for insurance.
Roger reports that getting set up to accept credit cards will cost a minimum of $1,000 per year. Discussion ensued. Idea tabled for now.
Need to consider cashing checks ASAP. It is unclear when a person becomes a member according to the bylaws. There is a 30-day grace period once someone sends in their check. They have privileges during that period. Needs to be clarified in the new bylaws.
Membership:
We are at 968. Mary Lee has been out of town. Mike Helton has been picking up the mail and distributing things to Roger and Greg for processing.
Zündfolge:
Brian will
cease publishing the magazine as of the March issue.
Lucetta is interviewing potential new publishers.
The printer will probably change as well. Some on the board was concerned about costs and not allowing
them to get out of hand. They will
try to get the same prices and will alert the board if that appears to not be
possible.
David L reports that Bellevue Motor Works wants to start running ads again. They say they will pre-pay for the ads. They have an outstanding unpaid balance ($256) with us from previously run ads that were not paid for. Motion passed to send deposit check back and not run their ad based upon their current offer.
Redmond Motor Sports’ ad has been pulled. They owe around $1,600. Ray says he will pick up the cost for the last three months.
Motion passed to bill advertisers on a monthly basis.
Motion passed to drop advertisers who get behind by 2 months.
Discussion ensued regarding printing a calendar in the magazine. Nothing resolved.
Hugh read a letter from the Portland ACA President regarding inclusion in our magazine. They would like 2-4 pages per year and can offer $2,500 per year contribution. We would ship 200 magazines down to them for their distribution. Mike H. suggests using 2 of our 24 pages and pocketing their money.
Motion passed to wait until a new publisher and printer are determined before deciding how to handle pages for Portland ACA. David says that printing 200 extra magazines will cost $200 so including them is a wash and we lose 2 pages.
Philanthropy:
David Bobanick of Northwest Harvest (NWH) spoke. NWH have Saturday work groups at their various facilities that we might be interested in helping at. They have distributions on Mon. & Wed. NWH can provide cans for food and after event pick them up. Cash is accepted as well. We should show publicity ideas to NWH before publishing them. The first collection can will be at the May 9 SIR driving school.
Brian and Hugh are going to CCA Gateway Tech. They should look towards bringing a CCA rep to meet with us in September.
Lucetta will be going to a SOVREN meeting to find out about car corral changes.
Ray will be handling the tech compendium.
Jacqueline asks for the track events to be on the web page.
The June 3 board meeting will be at Jacqueline’s new house.
Meeting adjourned at 10:45 PM
