Board Meeting Minutes
August 1, 2002

The meeting was called to order by President Karl Seeger at 6:54 PM at Round Table Pizza in Redmond. Those in attendance were:

Opening Comments

Karl welcomed everyone. Introductions were made as there were a number of new faces.

News from National

Karl reported he just got this month’s News from National today, so he didn’t include individual items in his agenda.

Insurance
The national insurance continues to be the biggest item of interest. National reports that a lot of chapters are still asking questions directly of Weisenberg rather than sending questions through Wynne Smith. Karl contacted Wynne about providing a rate sheet, explanation of the policy and an application form. Wynne responded with a long email. Meanwhile, Weisenberg is preparing a “plain English” version of the policy.

Oktoberfest 02
Alan and Lucetta attended the event in Colorado. They reported the food was great, the events were well run and the weather was prefect. There were over 700 cars registered. Speakers included David E. Davis and Nick Craw.

Raffle 2002
Fifteen M3s were given away in the raffle. An additional substantial cash prize was given for a “partial” M3. There were no winners from our chapter.

Elections
It’s national election time and Secretary, Treasurer and three Regional Vice President positions are up this year. Pacific RVP is one of the RVPs open this year. No one knows whether Keith is running for reelection.

Member Survey
Ken Hill said he made new copies of the surveys but forgot to bring them.

Tee-Shirts
Lance reordered 50 tee shirts plus about 25 custom-ordered sweatshirts. He sold 20 of the 50 at the Concours.

Nomination Committee
Lance pointed out that we are to appoint the Nomination Committee at the August meeting. Karl asked for volunteers. Jim Millet, Rick Gulstrom, Tom Cox and David Lightfoot were appointed as the Nomination Committee.

General Meetings and Events

Historic Race Corral
Lucetta reported that the event was full with lots of members turned away due to lack of space. We couldn’t get more tickets this year. Next year we will limit all members to one day so that more people can take advantage of the Corral.

Monroe to Mt. Vernon Tour
Doug reported that everything is set up. He will be pre-running the route again this Sunday. He has 20 cars registered at this point out of 40 spaces available. The event is August 10th.

SUV Tour
Ken Hill said he has one registration already. He is going to pre-run the route to be sure an X5 can make it. Since X5s don’t have a low range, it may be too steep.

Co-Show at Ste. Michelle
Neither Lance nor Kevin has heard anything from the organizer in the last month. The event is not likely to happen.

Oregon Wine Tour
Ken Olsen reported that the event may already be full or close to full. Tom Williams is the tour leader and is taking the reservations.

E36 Tech Session
Jim Millet wasn’t present but has tentatively set the date at November 9th. The Board agreed to that date. Car Tender will be the host.

Wine Tasting
Kevin reported that the event will be held October 9th at Esquin’s. Price per person will be $25 which includes food and wine. There will be a registration form in the September Zundfolge.

02 Fest
Ken Wear reported that 81 2002s showed up. The event was a huge success; a great show. People came from California, Oregon, BC and Alberta. Ken thanked the CCA for the insurance and Ken Olsen for the after-event tour.

02 Tour
In mid-August there will be a tour around Mount Rainier.

Concours d’Elegance
Lance reported that there were 157 paid cars in the show and about 175 cars total displayed. In addition about 225 people were fed. Profit on the event tentatively is $1,693. The event was the largest Concours ever. Lance said that he is working on Marymoor for next year. The BMW Seattle (event sponsor) sales manager came out and was impressed. Lance attributed the growth in the event to the emergence of the Special Interest Groups and their participation.

A committee has been set up to follow-up on the event. The scoring system will be revised. Bonus points were controversial, mostly due to some mileage being questionable. Ron Ager who won the Preservation Award from Griot’s, gave the trophy to the original owner of his Bavaria. He wrote a terrific story about visiting the original owner and his family and giving him the trophy.

Treasurer’s Report
Tom said the cash balance was $35,138.75. We haven’t received any news about the dues reimbursement from national. Keith acknowledged Tom’s email but has not come back with an answer. Keith was not at O’fest. Greg and Doug Adams are to determine membership numbers by month so that we can do our own calculation.
Tom said he needed to send out the latest Zundfolge advertising invoices. He and Jacqueline are working on the budget for track events.

Web Site
Miki reported that the site is still in maintenance mode. Miki and Dale talked about switching the ISP. Dale has switched his Unofficial BMW site and found the performance was much better with the new ISP. The Board also discussed the possibility of providing web pages to each of the SIGs that want them.

Zundfolge
The deadline for the September issue is next Tuesday, August 6th. Lucetta said that the July issue had problems at every step in the process and was two weeks late as a result. The August issue went smoothly and was mailed out on time. We are continuing to lose advertisers. Jim Millet is supposed to be soliciting new advertisers.

Roster/Membership
Greg reported that we have 2953 members, including 272 associate members. There are over 1500 on the email group.
Rick showed the PA system that the Club purchased. The cost was $380.80. It will be used at the track for the first time this weekend. It will be passed around at Board meetings based on who will need it next.

Track Events
Jacqueline was not at the Board meeting as she was preparing for this Saturday’s event. That event, August 3rd, is full.

Jacqueline and Karl have talked to four people about taking over the track events for next year. Walt Conley and Bill Bauer said no. Dave Ely and Peter Fanning said they are willing to help but they aren’t ready to take responsibility for the program. Wes Hill and Jim Millet have expressed interest. Karl wants to see whether there are any more volunteers from a solicitation in the current Zundfolge. Karl and Jacqueline will probably wait a week and then propose a candidate to the Board. The urgency is the need to determine a focal point for registrations for the October driving school.

Karl noted that the point-to-pass rule was reinstated at the last track event with flashing of lights by the car that wants to pass being optional. The point-to-pass rule proved to be as controversial as the previous “let by” rule with no pointing. It was thought that consistency in the future and stressing the point-to-pass rule at each drivers’ meeting will help eliminate the controversy and make for safer driving. In addition, corner workers will begin using blue flags to indicate that there are cars that want by.

Banquet
Kevin reported that the banquet date will remain in January for now but that it may be moved next year. He is working to get the price down considerably. The event may be a buffet or even heavy hors d’oeuvres. We are also trying to find a place that will accommodate cars in the banquet room.

David spoke to David Hobbs about speaking at the banquet. His price is $2,500 plus expenses, for a total of about $3,500. The Board approved the expense. David will call David Hobbs to firm up the date of January 25, 2003.

Tours/Rallies
Ken Olsen said that Club members are invited to participate in the Fall Rally on November 16 and 17 sponsored by College Planning Network.

Roundabout

Ken Wear—thanks for the help with the 02 Fest.
Don Robisch—recently retired from Boeing and willing to help with track events. Asked whether there was an E36 M3 SIG.
Lucetta—said that the Club tee-shirts worked at Keystone to find other chapter members. She drove a Mini Cooper S and wasn’t impressed.
Kevin—asked whether we have a banner with the Club logo. Lance said we have one that was done for the ALMS Corral last year. It doesn’t have the PSR logo but there is room to add it.
de-Anna—said she does a lot of event planning and would be happy to help with the banquet.
Greg Hodder—drove a Saab Viggen and said it sucks. He won’t stray from BMWs.
Chris—really liked the Concours but missed the dash plaques.
Louis—is already working on an Access database to compile Concours scores next year.
Greg Mierz—asked for an air conditioning shop recommendation. Noted that there are few older BMWs in LA.
Rick--asked for information about the new Z4. A co-worker is interested.
David—noted that the Club Calendar is a little sparse this fall. Also suggested that we look for a new location for Board meetings.
Karl—said that he received news at work today that his company has been bought out.

The meeting was adjourned at shortly after 9:00 PM.
