Monthly Board Meeting

June 1st. 2000

Vice President, Lance Richert, called the meeting to order at 7:10 pm at Chris Linder’s home.

Opening Comments:

Introductions were made for Roger Pearson who joined our meeting tonight. The next Board Meeting will be July 5th at the Mercer Island Community Center. If this location is satisfactory we will try to continue to meet there.

ACA/CCA Merger:

Logo Redesign - David has asked Jill to clean up and do a color version of our logo. He’d like the Space Needle to be more accurate. Then there would be a one-color version, a two-color version (black and blue) and a full color version. (Per David’s report)

By-Laws – The committee continues to work on the by-laws and will report back at the next board meeting. (Per Lucetta’s report)

Next Steps – There was some discussion on when the cut-off date will be regarding taking memberships for ACA. Greg noted that the data base software we use is more comprehensive than the one used by CCA.

General Meetings:

New Members meeting will be June 24th starting at 10:00 am. Lance is getting responses via email from members planning on attending. He would like each committee person to introduce him or herself and tell what they do for the club.

Tech Session – E30 M3 tech session will be June 25th at Strictly BMW.

Ladies Tech Day follow-up – There was a smaller turn out than we expected. There were 25 RSVP’s but only 15 came. Those in attendance were very interested and glad they came. A follow up is in the June Zundfolge. Lucetta also had a couple male members ask for something like this for them. A Co-Ed session this fall would be good. (Per Lucetta’s report)

30th Anniversary Celebration 6/4:

Only 20 registered so far. Greg is sending out another email next Tuesday (5/30) so we hope to have a lot more. We are committed to a minimum of 75 people. We have the shirts and Bill Spornitz was sent the bill and already reimbursed me. We have 100 shirts – 75 short sleeved and 25 long sleeved (which we will sell for an additional $5 to help offset the more than double cost for a long sleeved). If we have less than 100 in attendance, we will sell shirts to any club member who was not at the event. I already have some interest from those who can’t make the event. I can have the shirts at the Historics and Concours available for sale. (Per Lucetta’s report)

Other:

Charity Coordinator – no report

Vintage Races Club Car Corral 7/1-7/3 – Only 18 registered so far (out of 60 spots). I do not have the tickets from SOVERN yet. I have confirmed that we have the 20 spots per day and they will send us the tickets when they have them made. Bill Spornitz is volunteering his tent again. I have three members volunteering to help in the tent so far. We will need more than that. Another article and registration form is in the June Zundfolge. (Per Lucetta’s report)

IRDC Races Club Car Corral 8/6 – BMW Seattle is hosting event. Lance discussed idea of having some free promotional item from BMW Seattle & KTR to give out to the first 30-40 people that show up to our corral. He will talk to Jacqueline regarding this idea. It was also suggested we have comp cards on each car that is on display in the corral.

Treasurer:

Bill handed out a financial projection for 2000 (June through October). It appears that we will have about $20,000 when we merge with CCA. He will try to do a cash flow projection for the merger. Bill expressed concern on how our track events will be affected by the merger, citing the example of the Snell 95 rated helmets, and the possibility of requiring "professional" tech inspections. He wondered if the smaller shops would do tech inspections at no charge to solicit future business.

Roster/Membership:

1155 members as of today. Our email group hit the 500 mark. There are at least 485 good addresses. When the merger occurs it will change the cost to have both husband and wife as members. There will be an extra cost charged by CCA. Roger has a letter in the June magazine explaining some of these issues. Maybe there should be a letter drafted to go out with the renewal cards. Greg was wondering how CCA National would give us information on new members so we have it to publish in the magazine. Roger Pearson questioned if we publish our roster. Greg told him we do not publish our roster and gave him reasons why we didn’t do that.

Zundfolge:

Labels go on June 2nd and mailing will be June 3rd. Once again we had too much content and I had to slash and burn at the last minute. And this was with a couple less ads. Feature is Nancy Martin’s 328 which should be a nice cover and centerfold. Two pages on E30 M3s and Concours promotion. Feature for the July issue will be the E30 M3. (Per David’s report)

Web Site Status:

David’s report included: "I’ve started roughing out some policies for coordination between the web site and the magazine. Timing, editorial oversight, etc. At some point I hope to have a draft we can all use as a starting point for discussion." Dale reported there have been some additions to the web site, including some new member cars such as a 6 series and an M5. Dale requested help digitizing video to create a file and received a response from someone reading the magazine that was not even a member! This person offered to help Dale.

Banquet:

Rick is working on ideas. Greg has a person to contact regarding information for a casino night. Rick is thinking about what the night should be, with ideas such as a "gaming" night, dancing, silent auction with no live auction, etc. The location will probably be at the Harbor Club in Bellevue. Bill S. wanted to know if Phil Smart knew that Children’s Hospital received our check in lieu of his honorarium.

Concours 7/22:

Bill Spornitz reported there would be about 30 trophies at a cost of about $1200 plus tax. Chris Linder reported she would be going to Robinswood for a walk through. The poster was passed around for all to see how beautiful it turned out. There will be a coloring contest for children. Greg will find the contact at the Seattle Times to promote the event in the auto event section.

Tours/Karting/Rally:

Karl’s report: "All the wineries have been contacted and are looking forward to our visit. I have an agenda that seems OK with my advisor (Tom Williams). Last time I checked the hotel had 8 rooms booked, we need two more to get the rate. We should be okay. I have since gotten inquires from other members so I think we will be covered. Keep your fingers crossed for good weather and I should get a good turn out. There is "room" in my schedule for last minute changes. I have no firm plans around food. Depending on turnout, plans can be made. (Karl enclosed an agenda for the two days) Regarding Rally, I have sent out a few inquiries about rally support, but have not heard back from anyone as of yet."

Track and Driving Schools:

Jacqueline’s report:

"July and August Lapping Days – registration forms and details will be published in the June magazine, as well as posted on the web site. These are both Sunday events so we have the track until 5:00, enabling us to have 3 run groups plus a separate instructor group.

Laguna Seca - Report not yet provided by Ken.

Porsche Lapping Days – Had further discussions with the Porsche club for possibly joining their events in the future and working with them on how to improve their events. At this time they do not have their Board approval on opening up their events to our club but it is an idea that has been thrown out. At this point they have no plans for us to join their events. I’ll be talking further with my contact in June to see how we can be of help to their club."

Bill Spornitz added this information: Laguna Seca financial report is as follows – the event took in $8125 and expenses, including the rental truck, were $6500. The event did not cost us anything. In fact, it made some money. The numbers will change to include the Bay Area entrants when Ken gets back to Bill with that information. Bill suggested we think about going to Sears Point maybe two years out, during the fall or early summer months, and would like to see us do Laguna Seca again in the fall, like early November.

Roundabout:

Lucetta’s report included the following: "I have talked with R & K Photo and they would be willing to host a photo session for the club. I’ll volunteer to work with them if this is something the Board thinks is a good idea. It would be a Fall/Winter event. And, Jim Millet has been helping recruit new advertisers. His name was added to the Zundfolge contact list."

Dale – Saw an X-5 on the freeway on the way down to tonight’s meeting.

Chris – Saw a Chrysler cruiser and thought it was cute.

Evie - Spokane race weekend was awesome. My car was used as the pace car.

Roger P. – pass

Greg – pass

Bill S. – Ordered 24 Rocker Arms for my engine. Gave them to Greg to x-ray. 12 of them were flawed. These were brand new from the factory. May be okay for street engines, but not the race engine.

Lance – Stephanie drove the car at Laguna Seca and loved it! Had sticky tires to use.
