BMW ACA Board Meeting
August 2, 2000
Minutes
Present at the meeting: Lance Richert, Bill Linder, Chris Linder, Tom Cox, Greg Mierz, David Lightfoot, Lucetta Lightfoot, Dale Beuning, Karl Seeger, Joni Candey, Ken Hill (for part of the meeting)
Future Board Meetings
Both the September and October Board meetings will be at the Mercer Island Community Center on the first Wednesday of the month. The location is working quite well.
Merger Issues
Keith Wollenberg, Regional Vice President of BMW CCA, got a copy of the draft bylaws from Lucetta. Keith gave Lucetta a couple of small items of feedback. We have not yet received any formal response from the entire CCA national board. The Bylaws Committee has also received some feedback from our local Board and others. Many of the comments are more in the nature of policies or procedures rather than bylaws. Once the bylaws are done, the Committee will probably continue its work by tackling the Club Procedure Manual next.
On our request to defer the effective date of the merger to January 1st, Keith thought this would not be a good idea. So, the November 1st date stands.
Elections
According to the bylaws, the Nominating Committee needs to be selected tonight, candidate solicitations need to go in the next Zündfolge, candidacy statements will go in the November/December magazine (as will the ballot), and the results will be announced in the February Zündfolge. Nominations will occur before the merger, while elections will occur after the merger. CCA-only members will get their first Zündfolge in November and will be eligible to vote in the election immediately.
The Nominating Committee was selected. The members are: Lucetta Lightfoot, Chris Linder and Joni Candey. The Committee will submit an article for the September Zündfolge outlining the election procedure and soliciting candidates.
Transition Issues
Lance passed out a spreadsheet of transition issues. Deadline dates and responsible parties were assigned. The database integration is the most immediate task. Greg Mierz will coordinate efforts with the CCA national office. A committee was formed to work on the database integration from our end. The committee consists of Greg Mierz, Dale Buening and Tom Cox.
Lance is going to call Keith Wollenberg about the assignment of CCA members west of the Cascades to the new Puget Sound Region of CCA. It is unclear whether members will be automatically assigned based on zip code, will be asked their choice or whether they will be given a choice but be assigned to us if they don’t respond.
There was a discussion as to a possible special treatment for dual members whose ACA renewal comes up in the next few months.
Jill Skeels is to do a modest facelift to the Club logo. "ACA" needs to be changed to "CCA" of course. Jill will also modify the Space Needle slightly and to come up with a color version.
The Bylaws Committee will update the Club’s Articles of Incorporation to be consistent with the new bylaws and the change in the chapter’s name.
Two new names were decided on for domain names for when we become CCA. Dale was authorized to register the names.
Future General Meetings
Jim Millet is working with Exeter Garage on a winter detailing session to be held in mid-October. Rick Brown is putting together a karting event at Crazy Redheads in October or November. The Car Corral will be this Sunday, August 6th, at SIR.
Track Events
July Lapping Day - A great success! Over 100 cars, including our Instructor's. The event stayed on schedule and all drivers had plenty of access to instructors all day. The instructors and all those that helped, including some great club member's who worked corners for us, all did a terrific job! The feedback I've received regarding the event has been very positive.
August's Lapping Day - Is full with a waiting list. We ran an article in the August magazine, as well as on the web site, informing the members that we were full and reminded them to take advantage of all the other club's track events in the area including clubs in Portland and Spokane. We have already had some cancellations so we'll start going down through the waiting list.
Porsche Club's event on July 22nd - went well by reports received from their event directors and our members who attended. They still have many items to work out and smooth out but they are on the right track.
Misc. -The purchase of new track radios and fire extinguishers will be made prior to the August event. I will mail the Board with particulars as we move forward. Materials will also be purchased to make official 'Debris' flags for all manned corner stations. This will continue to provide our drivers with needed feedback regarding debris on the track. For example, when Turn 3 gets dirt brought up on the track surface, cones on track, car parts where you wouldn't expect, etc.
Tours/Rallys
Karl reported that the Peninsula Tour for August 19th is ready to go. Ken Hill reported that the SAV/SUV Tour on September 9th is also ready. There have been a few pre-registrations. There will be a short reminder article in the September magazine, if isn’t filled by the magazine deadline.
The Leavenworth Tour on September 15, 16 and 17 is also set. The B.C. Club is the lead on this. The Rodeway Inn will again be the center of activities. There will be separate tour groups to Leavenworth on Friday and Saturday. Karl will lead a group going over I-90 and Blewett Pass to come into Leavenworth from the backside. There will be a final promotional article in the September Zündfolge.
Web Site
The photos from the July track day and the Concours are posted. An email message to Club members caused a huge spike in traffic to the web site. The photos take a lot of room plus we have some track videos to post. The Board decided to authorize Dale to spend $100 to buy more space for the site.
Concours d’Elegance
The consensus was that the Concours was a great success. The participation was the best ever. Chris Linder asked for feedback. She is compiling a list of comments and ideas for making the event even better in the future.
There was a mix-up on the scoring of one car. This resulted in this particular car being awarded first in class and best of show by mistake. The owner has been contacted and the trophies recovered. The correct class and show winners have been notified. The best of show winner will likely be the cover car for the next issue of Zündfolge.
Net cost to the treasury of the event was $645, which is less than is has been historically.
Treasury
Bill Spornitz was absent, so no report.
Roster/Membership
Greg reported we have over 1200 members currently. The bulk email system has over 600 members on it.
We are running out of some supplies. Bill Spornitz is getting a couple of stamps to use until we print supplies with our new name.
Zündfolge
David handed out spare copies of the August issue. The September issue will feature the Concours, with a follow-up article by Lance, a cover photo and the centerfold. To save money, November and December will be combined. This issue will be the first for the merged clubs. However, we will still be using the old ad rates, so the net cost is going to be high.
Banquet
Rick Brown was absent, so no report.
Roundabout
Bill—Asked Karl if he and Tom Williams could plan the Wine Tour for next year. The offer was eagerly accepted.
Chris—Asked about a cell phone group plan.
Tom—Passed.
Greg—Passed.
David—Mentioned Christian Eich’s death on the Concorde, BMW sales worldwide and nationally at record levels, and a couple of new products from BMW.
Lucetta—Four shirts are left from the 30th Anniversary Party. Need a teaser article promoting the long-term events, even if the dates aren’t yet certain. Asked whether the coloring contest kids got their artwork back. Lance said they would be mailed.
Joni—passed.
Karl—A lot of people at the Concours came up to him to thank him for the Wine Tour. It was a great event.
Lance—Photos for the May Driving School have gone out to the participants. The photos are really good and a great souvenir. Lance said 308 members had attended something this year, and he didn’t even have those that attended the Concours included in that figure! Participation is excellent in events. He will be doing a President’s column in Zündfolge covering a variety of things. David asked that he have something to say rather than just fill space each month.
Meeting adjourned at 9:45pm
Respectfully submitted by,
David and Lucetta Lightfoot
(substituting for Evie Mercer)
