Board Meeting Minutes
August 5, 2004
The meeting
was called to order by President Tom Cox at 7:02 PM at the
Mercer Island
Library. Those in attendance were:

Opening Comments
Tom Cox welcomed everyone.
President's Report
News from National • Tech Fest Midwest will
be hosted by the Hoosier Chapter in March, 2005. • There's an updated
track incident report available online on the
National Website.
• BMWNA has sent letters to some
members asking them to participate in an emissions study.
Participation is completely voluntary.
• National Elections - Positions open are: Treasurer, Secretary, South
Atlantic Regional Vice President, North Central Regional Vice President
and Pacific Regional V.P.
• From the National board meeting
minutes:
- Some research has been done on the 15% rule, and it has
been decided that a
member of
any national Chapter constitutes a member for income tax purposes.
- They are scouting out Mt. Tremblant as a possible site for
an Oktoberfest
- A new Chapter has been formed in Vermont: the Green
Mountain Chapter. Welcome!
Insurance Discussion
Rich Milham has done some research on whether our track
waiver would be effective if a person chose to contest it.
His first conclusion is that it is not effective under any
circumstances with minors. Two, he suggests that we attempt to add
an addendum with a "hold harmless" statement for specific individuals.
He also suggests that the waiver be sent to every participant before the
event so that they can read it before-hand.
Bill will contact our insurance carrier to ask about the possibility
of adding a waiver addendum.
A second discussion involved the issue of Directors and
Officers (D&O) insurance. National has asked that all Chapters get
this coverage. A decision was made to research exactly what our
liabilities would be in the event of a lawsuit, as we understand that
Washington state has very favorable laws regarding volunteer Boards.
Nominating Committee
It is time to form a nominating committee to find Board
members for 2005. David,
Louis, and Lynne all volunteered. Anyone else interested in
serving on this committee is welcome.

Treasurer's Report
David reports that everything is in good order. We have $65,000 in
cash and $4000 in receivables.
General Meetings
Past events:
Pacific Raceway Historic Races, 7/3-4
- Lucetta reports a net loss of $43. This was for the
tent space to promote the Club, which we all agree was money well spent.
The event was full, with 26 cars on Saturday and 20 on Sunday.
Upcoming events:
Book Signing, 9/11 - David will
tell the story of how he wrote his book. The event will be held at
the
Mercer Island
Library.
Ste. Michelle Concours, 9/18 - no
report, no promo supplied to the Zündfolge staff
Hornet Race, 9/25 - Promo will be
in the September Zündfolge. Lance will be the driver.
Video Night, ?/? - This event
will happen, most likely in November. No date set.
Tours and Rally

• Ken was unable to attend, but
reported via email that all is ready to go for the Fall wine tour, set
for 10/2. Promo will be in the next Zündfolge, and he's now
accepting RSVP's
Rally - no report
Track Committee
Upcoming Events -
• August 29th is full with a
waiting list started.
• October 17th Novice school will have its first promotion in the August
Zündfolge.
• October 30th school (Portland) will have its first promotion in the
September Zündfolge. Bill has secured hotel rooms at nearby
hotels, talked to the track manager about corner workers, and also spoke
with the ACA Track Chairman to invite ACA members to the event.
Drifting -
The possible drifting
school is still being planned. Chris Mason is heading this effort
up. November weekend dates at Bremerton are open.
Autocross -
Another member has stepped
forward to help start an autocross program. We will put him in
touch with Martin to get a program started for next year.
SIG Groups and Events
no report
Banquet
David has secured former M-Brand manager Erik Wensberg as the speaker
for the night. He is looking for examples of all 10 M models for the event,
as well as a 3.0 CSL
Concours
Lance reports that we had 144 paid entries and 10 other vehicles,
including 28 of the featured 8 series. BMW Seattle seemed happy
with the event. We need to make a donation to a local Renton
charity.
• Lance made MOTION to
make a donation to the Renton Lions Club in the amount of $500.
David SECONDED the motion. Upon VOTE, the motion
carried unanimously.
• The hornet raffle raised
$820, so a $420 donation will go to the Parkinson's Foundation.
• Lance has received good
feedback on this year's judging procedures.
Zündfolge
• The
deadline for the September issue was Tuesday, August 2nd.
•
Lucetta and Tom Cox will work on a letter and contacting advertisers
about the new advertising rates.
•
There was some discussion on blatantly past-due accounts and whether to
pull the businesses ads.
Roster and Membership
•
Louis reports that we had a member stop payment on a check for both
track days in June. This person will not be allowed at any events
until this is paid in full.
• Rick has new pamphlets with the updated annual dues ($40).
He reports that National membership is at 67,810 as of 7/22, 2000 up
from last year.

Bill is working on editing the Track Events web page
Next Board meeting - Wednesday, September 1
The next Board meeting will be at the
Mercer Island
Library, 4400 88th Ave, SE, and Rick has volunteered to bring the
food.
Roundabout
Tom Cox - there were 12 raffle
winners, none from our region
David - watch BMW sales, something
funny is happening. Sales were not good in July
Louis - no splint! He will be
starting back at work in a week
Bill - 34,000 mile E30 325is for
sale in the Seattle PI, but the person wants lots of $$$$
Alan - 91 M3 for sale in the
Zündfolge
