Board Meeting Minutes
July 1, 2004

 

The meeting was called to order by President Tom Cox at 7:00 PM at the Mercer Island Library. Those in attendance were:

Opening Comments
Tom Cox welcomed everyone.

President's Report
News from National
Raffle - it looks like about 10 cars will be given away.
National Website - the decision has been made to contract out design work.  The maintenance will continue to be done in-house.
• Tech Fest Midwest will likely happen in March of next year.
• There is a discount on Hertz and Avis rental cars available to members now.

Treasurer's Report
David passed out a balance sheet and quarterly reports.  Assets total $86,605.98 with $74,001.50 in cash.  Receivables are a little higher than David would like.  David is still working on switching banks.  Both track and Zündfolge are right on budget.

General Meetings

Past events:

Griot's Tech Session, 6/12 - Alan reports that all went well with about 100 people in attendance.

Upcoming events:

Pacific Raceway Historic Races, 7/3-4 - Lucetta reports that the event is sold out.  The Hornet will be there to promote the charity raffle.  Expenses for this event will be roughly $43 more than the income.

Issaquah Car Collection, ?/? - Lynne reports that this event should be delayed until next year, as a mutually agreeable date couldn't be found.

VRM, ?/? - has been postponed until Spring, 2005.

BMW NW Tech Session, ?/? - no report

Innovative Audio Tech Session - almost an event, but I.A. lost their lease, so this will have to be delayed indefinitely.

Ste. Michelle Concours, 9/18 - no report

Book Signing, ?/? - David reports that he has a delivery date for his books, but wants to wait until he actually sees them to commit to a date.  This event will most likely happen in September.

Hornet Race, 9/25 - 110 tickets sold already!

Video Night, ?/? - Lance and Tom O. will start the planning for this, should happen in early November.

 

Tours and Rally
Rally -
    
CPN Rally was held, great event, Ken came in 2nd.  There will be a fall Rally held in BC in approximately November.

Tours -
Walt and Jamie are heading up the caravan to Oktoberfest.
Mountain Twisties, 8/28 - everything looks good
Hurricane Ridge / Maloney Car Collection, 9/12 - going as planned
Fall Color, 10/9 - has been moved to Oct. 9
• Ken will coordinate a Fall wine tour.  He's aiming for 10/2

Track Committee
Past Events -
Both June 6th and 25th were sold out.  Good weather for both.  There was one incident on the 25th which delayed the event somewhat, but we recovered well, and the students did not lose any time.

Upcoming Events -
• August 29th registration will open as soon as we all receive our July Zündfolges.
• It was reiterated that we will be enforcing our cancellation policy - no refunds within 7 days of an event.


CCA Bylaws -
As of the August school, all convertibles must have fixed roll-over protection and 5 or 6-point harnesses.  Second, only Instructors will be allowed to carry passengers.  We have no choice on these decisions, as they are dictated by BMW CCA National.

Autocross -
President Cox mentioned that we should consider starting an autocross program, as this could be attractive to the membership.  We would need to find someone willing to head the effort.  Martin offered to be the Autocross Coordinator if someone can be found to head up tours.
 

SIG Groups and Events
• There has been some interest in starting an E46 SIG.  Mike will follow up.
• E30 Picnic, 6/27 - Lance reports that this event went very well with 112 cars and about 200 people attending.
• NW 02 Fest, 8/1 - Will be held in North Bend, WA.  The Club will cover the Insurance expense.
• E36 Street Fair, 8/22 - a promotion will be in the August Zündfolge.
 

Banquet
• de-Anna has talked to the Seattle Design Center and secured January 29th for the 2005 Banquet.  She will need $500 for the deposit.
• Ken Olsen made a MOTION to accept de-Anna's proposal, as stated.  Louis SECONDED the motion.  Upon VOTE, the motion carried unanimously.
• Martin put together a meeting with the NW Parkinson's Foundation to begin planning with them.  A "Fund a Need" program was suggested where people donated money for specific needs as opposed to an auction item.
• de-Anna encourages all the Board members to begin securing auction donations as soon as possible.

Concours, 7/24, Cedar River Park
• Alan has volunteered to be the Lead Judge this year.  Some volunteers have stepped forward, but we still need 15 more judges.
• BMW Seattle will again display some new cars.  Lance is working hard on more event branding to give them more value for their donation.
• The trophies are done.
• All plans are on schedule!

Zündfolge
The deadline for the August issue is Tuesday, July 13th. 
Lucetta reports that she is using a new printer for the magazine, and they have turned out to be a bit slow.  As a result, the July issue won't get mailed until Friday (7/2).  She will work with them to expedite the process.

Roster and Membership
•  Louis reports that a rather bad thing happened on his computer, and quite a few people were deleted as a result.  He's found the root of the problem, and it won't happen again.
•  We got into trouble with the bulk email, so Louis now has to jump through some hoops to keep his server happy.  A "if you no longer wish to be on this mailing list" blurb will now be included at the bottom of every bulk email.
•  Rick reports that he sent out 100 new member packets last month.  National membership is 67,769, up 4% from last year.

Next Board meeting - August 5
The next Board meeting will be at the Mercer Island Library, 4400 88th Ave, SE, and Bill Spornitz has volunteered to bring the food.  The September Board meeting will be WEDNESDAY, September 1st, so that we can secure the Library once again.

Roundabout
Lynne - The IROE race was today!
Lucetta - got a patch quote from a Canadian source that's pretty cheap.  She will follow up.
Bill - stole the differential out of his son's car for the race car.  The addiction continues...
Louis - spent 3 straight days at the track.  He's now "Dr. Evil" in Spokane.
David - has been corresponding with a member who's an attorney about the track waiver, and is proposing an addendum.  The mentioned member will be at the August Board meeting.  Also, Nancy Martin's 328 won't be a t the Concours, as there's a schedule conflict.
de-Anna - is going to the Portland Historics.  Over 100 BMW's coming.
Martin - ran the Silver State, had a lot of fun
Mike - went to the Greenwood Car Show last weekend, light BMW attendance.
Lance - demonstrated proper banner storage technique.
