Board Meeting Minutes
June 3, 2004

 

The meeting was called to order by Vice President Ken Olsen at 7:02 PM at the Mercer Island Library. Those in attendance were:

President's Report

2004 Dates
Octoberfest, to be held in Pasadena, CA, July 4-9

 

Report from Chapter Congress, May 21-23
Tom Cox, David, and Rick wrote a rather comprehensive report on their experiences at the recent Chapter Congress.  What follows is a brief synopsis.
•  The first session involved how to attract new members and get them involved.
•  The second involved the need for a National "Code of Conduct"
•  Dean Killian did a presentation on Street Survival
•  Pete Lyon did a presentation on our insurance coverage, which was rather eye-opening.  He stressed that the liability waiver we ask participants to sign is very important.
•  The Golden Gate Chapter hosted a symposium on how NOT to run a Chapter.
•  The Presidents' Session involved crisis communication and dispute resolution.
•  The Membership Session involved some fun with databases, how to encourage new members to come to events, and organizing corrals.
•  The Treasurers' Session covered Annual reports and IRS rules.

Hornet Race Car
Wes asked for the floor at this point, as he had to leave for the airport before the end of the meeting.  Vice President Olsen allowed it.  Wes has bought yet another Hornet, a 318 this time.  He proposes the Club front $400 to help with purchase of the car and raffle off the chance to drive it in the Hornet race on September 25th.  All proceeds beyond the costs would go to charity.  Lance and Lynne offered to help.
•  David Lightfoot made a MOTION to approve the proposal as stated.  Ken Olsen SECONDED the motion.  Upon unanimous VOTE, the motion carried.

General Meetings

Past events:

TC Kline Tech Session, 5/8 - Walt reports that about 85 people attended.  It was good to run it as two sessions.  Walt did the wrenching while TC talked.

Exeter Detail Tech Session, 5/15 - Alan reports that about 40 people attended.  A Meguiar's representative did the presentation, which was very informative.  Participants got to practice technique on spare hoods at the end of the session.

Upcoming events:

Griot's Tech Session, 6/12 - Alan reports that all is in order.  25 reservations so far.

Pacific Raceway Historic Races, 7/3-4 - Lucetta reports that Saturday is sold out, but Sunday is fairly open  She will try to secure some more tickets for Saturday if possible. 

Issaquah Car Collection, ?/? - Lynne has contacted the owner of the collection with some possible dates, but hasn't heard back yet.  She will follow up.  Should happen in Sept. or Oct.

VRM, ?/? - no report

 

Tours and Rally
Tours -
     Past Events

     • "Mountain Twisties" (May 29) - 34 participants, was snowed out, so took an alternate tour.  The original route is rescheduled for Aug. 28th.

Track Committee
Past Events -
none since last meeting

Upcoming Events -
• June 6 is full with a waiting list.  40 Instructors are signed up.
• June 25 is full with a waiting list as well, with 36 Instructors signed up.


General Business -
  Walt reports that all is in order for the coming schools.
•  Lynne asked if there would be water available for the turn workers.  Tom Olsson promised to follow up on that.
•  David expressed his concern that we need to come into full compliance with National standards on open cars.
•  Chris Mason passed out a proposal for a drifting / car control event this fall at Bremerton.  The Board and the Driving Committee fully supports him in this effort, and encourages him to move forward.  This event will fall under the Track Committee's jurisdiction.
 

SIG Groups and Events
• 8 and 7 series tech session at Car Tender (May 15) had 10-12 attendees.  Seemed well received.
• E30 Picnic (June 27) is going as planned.  65 RSVP's already.  Lance showed off this year's T-shirt with the all-conquering Jägermeister M3 on it.
• E36 Street Fair (August 22) - no report
 

Banquet
de-Anna passed out a list of possible programs for the 2005 Banquet.  It would appear that an M Power themed night won hands-down.  de-Anna warns that costs are up, and she may need to increase ticket prices.  She also reports that she is actively looking for a 2006 Banquet chair.

Concours, 7/24, Cedar River Park
Lance reports all is well.  Registration will open as soon as everyone gets their Zündfolge.

Treasurer's Report
David passed out a balance sheet.  Assets total $76,196.13 with $49,972.65 in cash.  Fees are pre-paid for the next 3 track events, E30 picnic, and Sovren Race, as well as the insurance for all of them, for a total of $19,000 pre-paid.

Zündfolge
The deadline for the July issue is Tuesday, June 8th. 
Lucetta is looking for follow-up articles for most past events..
• A printer was donated to the Zündfolge Committee.

Roster and Membership
•  Rick reports that there are 67,644 members nationally, 8,590 associates, for a total of 76,234.
•  Louis sent in his report in absentia, as he had to work.  He reports that there were some problems transferring the CCA roster into the PSR roster, resulting in some people not getting their Zündfolge.  This issue has been resolved.

Next Board meeting - July 1st
The next Board meeting will be at the Mercer Island Library, 4400 88th Ave, SE, and Ken Olsen has volunteered to bring the food.

Roundabout
David - went to Tech Fest while he was in DC
Walt
- accepted as an Instructor for Oktoberfest
Lynne - Ferrari / Maseratti meet at Marymoor Park, June 13, Noon-3pm
Don - brought in some trophies as ideas for alternatives.
Lance - showed off snazzy aprons to use at events.
Tom - kudos to Ken on the great new venue for the Board meetings
Mike - Greenwood Car Show, Saturday, June 26th
Jim - went to Indy 500 museum, and was very impressed

Ken Olsen adjourned the meeting at 8:36pm
