Board Meeting Minutes
May 6, 2004

 

The meeting was called to order by President Tom Cox at 7:03 PM at the Mercer Island Community Center. Those in attendance were:

President's Report

News from National
As part of National Volunteer week, "Thank you!" to all who work to make this Club possible.
• The next National Board meeting will be June 5-6 in Mt. Tremblant, Canada

2004 Dates
Tech Fest East, to be held in Reston, VA, May 13-16
Octoberfest, to be held in Pasadena, CA, July 4-9

 

General Meetings

Past events:

6-series Introductions - Events happened at all of the local dealers, somewhat late, as the cars' deliveries were delayed.  All of the dealers seemed pleased.

Autobody Tech Session, 4/17 - About 50 people attended.  Rick's car was on display, and he showed a video of the whole process of fixing it.  Jeff Butler did a great job, as always.  A new 5 series from BMW Seattle was on display to show the challenges of bodywork on newer cars.

Karting Enduro, 4/25 - Approximately 60 people attended.  40 were registered to race.  $2000 was taken in as registration fees.  $1863 was spent to put on the event.  Thank you Lucetta for helping with the flagging!

Upcoming events:

TC Kline Tech Session, 5/8 - Jamie reports that everything is moving ahead full steam.  130 reservations so far.  She is trying to get a video made of the event.

Exeter Detail Tech Session, 5/15 - Alan reports that all is ready to go, although reservations are somewhat sparse.  A bulk email will go out shortly.

Griot's Tech Session, 6/12 - Alan reports that all is in order.  15 reservations already.

Pacific Raceway Historic Races, 7/3-4 - Lucetta reports that there is lots of people signed up for Saturday, but not too many on Sunday yet. 

Issaquah Car Collection, ?/? - Lynne has contacted the owner of the collection with some possible dates, but hasn't heard back yet.  She will follow up.

VRM, ?/? - no report

 

Tours and Rally
Tours -
     Past Events

     "Trippin thru the Tulips" (April 10) - Had 38 cars and was a big success.
     Upcoming Events -
 
    ▪ "Mountain Twisties" (May 29) - 10 reservations so far.
     ▪ Caravan to Oktoberfest (July 2-3) - Martin will coordinate people to go down
       together.  He will not be able to attend himself.
     ▪ Fall Color Tour (Sept 25) in the planning stages.


Rally - The Spring Rally was held on April 24.  25 cars participated, including 2 from Canada.  $2000 was raised by registration fees.  Expenses totaled $2400.  Ken is forced to step down as the Rally Master, as work once again has gotten in the way of fun.  Jeffery Schlimmer has volunteered to step forward and take his place.

Track Committee
Past Events -
Bill Bauer, Peter Fanning and Walt went to the Buttonwillow Instructor School.  Walt reports that he gained a couple new tools that can improve our program.  He will pair the new Instructors with Senior Instructors in a new mentor program to help the new Instructors settle in and gain new skills.  These pairs will stay together throughout the year.  Walt will institute this at the June schools.  Walt would also like to begin inviting Instructors to come from other Chapters and teach with us.  This would entail some expense from the PSR Chapter, as we may have to pay for hotel rooms.  It was agreed that this was a discretionary expense within the Track Budget, so the Board encouraged Walt to institute the program.

Upcoming Events -
• June 6 is full with a waiting list started.  40 Instructors are signed up.
• June 25 has 73 entries, with 36 Instructors signed up.


General Business -
Louis started a discussion about the need for a written policy about non-BMW registrations.  Although it has been understood that we give preference to BMW's at our schools, there is not a consistent policy.  The Board encouraged the Track Committee to draft a policy.
• Walt would like to order some more Instructor shirts, as he is out of popular sizes.  He would need $450 for this.  David Lightfoot made a MOTION to approve Walt buying more Instructor shirts, not to exceed $450.  Louis SECONDED the motion.  Upon VOTE, the motion passed unanimously.
 

SIG Groups and Events
• 8 and 7 series tech session at Car Tender (May 15) is on schedule with 15 reservations so far.  A bulk email will go out next week.
• E30 Picnic (June 27) is going as planned.
• E36 Street Fair (August 22) is going as planned.
 

Banquet
de-Anna reports that the Banquet Committee had a meeting, and it has decided that the 2005 Banquet will benefit Parkinson's disease research.  The Committee will soon begin planning for the next event.

T-Shirts
Lance reports that 50 special requests are in for the coming order.  With the shirts that Lance buys on this order, he should be set for a few years. 

Concours
BMW Seattle has committed to be the title-sponsor for the event again.  A caterer has been hired.  The budget for this year's event will be about $5000.

Treasurer's Report
David passed out a balance sheet, a track report, and a Zündfolge report.  Assets total $81,932.82 with $57,657.40 in cash.  Past-due accounts look very good, and both track and Zündfolge are on budget.  David expressed interest in switching banks, and the Board gave its blessing to him doing so.

Zündfolge
The deadline for the July issue is June 8th. 
Lucetta handed out an updated 2004 budget.
• We had 24 advertisers in the May issue.

Roster and Membership
Louis reports that he is happy with the bulk email system.  Although it still has a few glitches, these are being ironed out.  It would seem most of the bad addresses have been deleted.  Rick reports that there are 76,450 members nationally, up 2%.  The local Chapter memberships continues to hover around 3000.  There are 7 local Life Members.

Website
Tom Olsson reports that there are no major projects.  It's pretty much in maintenance mode.

Next Board meeting - May 3rd
The next Board meeting will be at the Mercer Island Library, 4400 88th Ave, SE, and Louis has volunteered to bring the food.

Roundabout
Jamie - asks if anyone is interested in an ice-driving school.  She got a resounding "yes!"
Walt
- looking for a home for a friend's 2002 330i.
Louis - got stitches playing with cars.
Steve - don't forget that the Seattle 7's are planning a caravan to Bimmerfest in Calgary on June 25th.  All are welcome.
Alan - asks if any Board members are planning to come to the Exeter event.
Rick - he's been getting a lot of computer viruses lately.  He doesn't like them.
David - going to the Roundel national meeting in 1 1/2 weeks.
Martin - leaves on Tuesday for his Silver State run.  Good luck!
Ken Olsen - has a car cover for an E36.  Anyone interested?
