Board Meeting Minutes
April 1, 2004

 

The meeting was called to order by President Tom Cox at 7:05 PM at the Mercer Island Community Center. Those in attendance were:

Opening Comments
Tom Cox welcomed everyone.

President's Report

News from National
The Chapter Congress is scheduled for May 21 in Denver, CO.  The President, Treasurer, and Membership Chair are invited to come, but we are still unclear what expenses will be covered.
     - Martin made a MOTION to cover the expenses for those attending that National
     does not cover.  Bill SECONDED the motion.  Upon VOTE, the motion carried with
     10 "for" and 2 abstentions.
ZF Public Service Award were announced.
• Application forms for both Tech Fest East and Octoberfest are now available online at the National website at http://www.bmwcca.org/cgi-bin/BMWCCAenterMember.cgi  Members are encouraged to get their applications in early.
• Raffle flyers will go out this month. Odds will be 1:3000.
• The next National Board meeting will be June 5-6 in Mt. Tremblant, Canada

2004 Dates
Tech Fest East, to be held in Reston, VA, May 13-16
Octoberfest, to be held in Pasadena, CA, July 4-9

 

General Meetings

Reports on past events:

All Members Meeting, 3/27 - 67 people attended.  It was nice to see so many brand new Members in attendance.

Track Safety Tech, 3/28 - Had about 30 reservations, and all went well.  Andy gave a very entertaining presentation, as always. 

 

Upcoming events:

6-series Introductions - Tom Cox reports that there are about 60 reservations so far.   The events will be held at BMW Seattle on 4/5, BMW of Bellevue on 4/7, and BMW Northwest on 4/14.  Everything is ready to go.

Autobody Tech Session, 4/17 - Jim was absent.  Rick reports that there will possibly be a presentation on the work done to his M3.

Karting Enduro, 4/25 - Tom O reports that 3 teams are registered, 3 other teams have expressed interest, and we have one single registered so far.  Everything is ready.  We are looking for a Track Steward, as Ken Hill has a schedule conflict.

TC Kline Tech Session, 5/8 - Jamie reports that she has 21 reservations already, mostly for the morning session.

Exeter Detail Tech Session, 5/15 - Alan reports that all is ready to go, some reservations already.

Griot's Tech Session, 6/12 - Alan reports that all is in order.

BMW NW Tech Session - Alan has talked to BMW Northwest.  They would still like to do an event, but can't do it on June 19.  Alan is working with them to reschedule.

Pacific Raceway Historic Races, 7/2-4 - Lucetta reports that the entry fee has increased, but now includes a program with each ticket.  She is planning on buying tickets to Saturday and Sunday only, as not much is happening on Friday.

Issaquah Car Collection, ?/? - Lynn is working with the owner to set up an event in Sept or October.

VRM, ?/? - Wes reports that this event will most likely happen in the Fall.

 

Tours and Rally
Tours -
     Past Events -
Martin reports that he had 27 cars join him on the tour to Novice
     Day.  Everyone made it to check-in on time.
     Upcoming Events -
    
"Trippin thru the Tulips" (April 10) - Martin has 38 reservations.  All is ready.
     ▪ "Mountain Twisties" (May 29) - 15-20 reservations so far.
     ▪ "Scenic America" has been cancelled in favor of an Eastern Washington tour, or
       a tour to Bimmerfest in Calgary, Alberta.
     ▪ A caravan to Oktoberfest, a Peninsula tour, and a Napa Valley tour are all in the
       planning stages

Rally - The Spring Rally is set for April 24.  Ken Olsen has spent the last few weekends laying out the routes.  Registrations are coming in.  Louis has volunteered to work a check-point.  Ken is still looking for other volunteers to man checkpoints.

Track Committee
Past Events -
The Bremerton Novice School went well.  We had 72 drivers attend.  Weather was nice, everyone went home happy.
• The Pacific Raceways Novice School attracted 80 students and 45 Instructors. Bill thanks Louis for his efforts in registration and in keeping the schools on schedule. There was some discussion on how to manage Instructor track time.

Upcoming Events -
• There are already 30 reservations for each of the June dates.

General Business -
Bill is still working on obtaining a storage container for Bremerton.
• Sovren has been hired to man the flag stations.  Not only are their members familiar with track safety, all the fees charged to the Club will be donated to Children's' Hospital.
• Electronic registration has begun.  The application for both of the June schools is available on the website.  Louis has decided this is as far as he wants to take the process right now.
• Bill reports that he is now out of log books, and will need to reprint them for the October Novice school.  Some revision will be necessary.

Drifting - Chris Mason approached the Board with the idea of hosting a Drifting event.  Many Members have expressed interest.  Some details still need to be worked out, but the event seems to be possible.  Chris will continue his research, and the Track Committee will look into hosting an event in the late fall.  Bill will follow up with Bremerton to check on track availability.

SIG Groups and Events
• 8 and 7 series tech session at Car Tender (May 22) is on schedule.
• There will be an '02 SIG drive this weekend.
• Mike reports that an E46 SIG is starting up.
• Martin reports that the E36 show&shine has been postponed due to schedule conflicts.  It has been rescheduled for Aug. 22
• Steve reports that there's a possible new Bimmerfest event in Calgary, June 26th.

Banquet
The Club received a nice thank-you letter from the MS Society.

Treasurer's Report
David sent in his report in absentia.  He reports the total assets to be $84,270.86 with $60,287.13 in cash.  Accounts Receivable is the best it's been in years - very few delinquencies.  We've received a renewal notice for www.bmwaca.org, and the Board decided to not renew it.

Zündfolge
The deadline for the May issue is April 6.  This issue is going into editing very fast, so nothing will make it into the magazine that does not get to Lucetta before 4/6 at 5pm.  No exceptions.
There has not been any further developments on the ad rate hike.
• We had 23 advertisers in the April issue, the most ever.

Roster and Membership
Louis reports that he is making progress in compiling the Member database.  He is slowly becoming more comfortable in his new position, and things are beginning to fall into place.  Bulk email is now coming from the website's server, thanks to Dale's help.  It was asked that the "from" line say "BMWCCA" instead of "xrra.pair", as many people won't recognize the server's name.

Concours
Lance is working on creating new Club banners and A-boards for Club events.  He will need approximately $800 to get the job done.
• Ken Olsen made a MOTION to approve Lance's proposal, as stated.  Lucetta SECONDED the motion.  Upon VOTE the motion carried unanimously.

Lance also reports that he will dial back in some mileage points into the competition, but only at the class level.  Best in Show will remain the same as last year.

Al Lanng has been talking with Lance about the Ste. Michelle Concours, now scheduled for Sept. 18.
Ken Olsen made a MOTION to fund the Ste. Michelle Concours at the same level as we did last year, $500.  Lance SECONDED the motion.  Upon VOTE, the motion carried with 10 "for" and 2 "against".

Next Board meeting - May 6th
The next Board meeting will be at the MICC, and Louis has volunteered to bring the food.

Roundabout
Jamie - loves her new suspension!
Tom O. -
has taken over the Street Survival program, as Kevin is moving out-of-state.  There not be a 2004 event, due to lack of Foundation funding, but an event is planned for 2005.
Walt - applauds Chris on his efforts to start a Drifting event.  Also got to drive Loren Stout's Dinan Stage 2 E46 M3 at Spokane, and was very impressed.
Louis - had great time driving with ProFormance.
Lynne - Need for Speed event this weekend at the Museum of Flight.  Lance's car and Team Seattle will be there.  Don K. is one of the speakers.
Wes - has decided that the 645 is a really cool car.  Wes reports that he will spend 70 days this summer working an event at the Nurburgring.  Lucky stiff!
Rick - brought some inquiries from 2 Members looking for some model information.  Volunteers were found to help them.
Chris - going to the BMW Experience this weekend.
Mike - selling his Condo, and is moving to Spanaway.
Martin - is running the Silver State Challenge this year, not sure which class.
