Board Meeting Minutes
March 4, 2004

 

The meeting was called to order by President Tom Cox at 7:04 PM at the Mercer Island Community Center. Those in attendance were:

Opening Comments
Tom Cox welcomed everyone.

President's Report
The Portland BMW ACA invites PSR members to come down for the ALMS race at PIR in July.

News from National
The Chapter Congress is scheduled for May 21 in Denver, CO.  The President, Treasurer, and Membership Chair are invited to come.  Their expenses would be paid by National.
ZF Public Service Award applications for 2003 are now closed.  We will be applying for one in 2004 for the excellent results of the Banquet.  Some matching funds may be available.
•Application forms for both Tech Fest East and Octoberfest are now available online at the National website at http://www.bmwcca.org/cgi-bin/BMWCCAenterMember.cgi
•Minutes from the last National Board meeting are available at the same site.

2004 Dates
Tech Fest East, to be held in Reston, VA, May 13-16
Octoberfest, to be held in Pasadena, CA, July 4-9

All of the required forms have been sent in to the National office.
 

General Meetings

Reports on past events:
E46 Tech Session, 2/7 - Had a great turn-out.  Very nice event put on by Eastside Bavarian

Upcoming events:

Issaquah Car Collection, ?/? - no report

6-series Introduction - Tom Cox reports that there has been a lot of interest since the bulk email went out.  Unfortunately, he doesn't have an update on the ETA of the cars at the dealers.  Bellevue event has been delayed as a result.  Seattle 3/9, BMW NW 3/9, Bellevue TBA. 55 RSVPs so far.

All Members Meeting, 3/27 - Going as planned, same format as last year.  Rick has secured a box of goodies from BMW NA.  He will need 3 volunteers to help on the day-of.  Martin is arranging for some nifty cars to be on display.  Rick will want a bulk email sent out as the date approaches.

Track Safety Tech, 3/28 - Tom O. reports that all is in order.

Autobody Tech Session, 4/17 - Jim reports that this one is set to go.  BMW Seattle will supply a new 5-series for us to examine.

Karting Enduro, 4/25 - registration is now open.  The response has been light, but the event is a ways off.

VRM, ?/? - Wes is out of town.  Tom Cox reports for him that Wes is looking at a date close to May 1.  Nothing definite yet.

TC Kline Tech Session, 5/8 - going as planned

Exeter Detail Tech Session, 5/15 - Alan reports that all is ready to go.

Griot's Tech Session, 6/12 - Alan has contacted Tim Willard at Griot's, and this event will happen as it was planned.

BMW NW Tech Session 6/19 - no report, Alan James will contact the dealership to coordinate this one.

Pacific Raceway Historic Races, 7/2-4 - Lucetta is working on securing is a spot in the corral.

Speedware Tech Session, ?/? - Alan reports that Dan at Speedware has expressed interest in hosting a tech session.  It's in the early stages of planning.  Will likely occur in July or August.

Greenwood Classic Car Show, 6/26 - Mike reports that he is planning to coordinate a BMW area at this event.

 

Tours and Rally
Tours - Martin has been pleasantly surprised by the enthusiastic response he has gotten to his planned events.  Is thinking about possible caravans down to Bimmerfest and Oktoberfest.
Rally - The Spring Rally is set for April 24, Ken Olsen is busy planning the stages.  He is asking for volunteers to work the day of the event.  Please contact him if you're interested.  The College Planning Network Rally (not a Club event) is scheduled for June 10-13 at Hood Canal.  There is a Fall Rally in the planning stages, no date set yet.

Track Committee
Past Events - the Instructor Clinic went very well.  Thank you Scott Adair and Don Kitch for their contributions.  There was a good turnout of 58 participants, and 12 new Instructors were signed off.

Upcoming Events -
The Spring Novice School is fast approaching.  All is in readiness, and the event is very close to being full.
•A promo for the June dates will appear in the April Zündfolge.  The 6/25 date will be a bit cheaper, as it's a Friday date.

General Business -
Bill would like to see registration become fully electronic, utilizing the website.  For the immediate future, an electronic form of the event application will be available on the website for download.
•Bill is working on a change to structure of the driving levels to simplify the process.  This is in the development stage, and will become effective at the end of this season, or the beginning of next year's.
•He is looking for other options for corner workers.  Lynne Eskill has offered to approach the Sovren Guild to see if they are interested, and will give them a try if they are willing.
•Bill is concerned with the loaner helmet program, and is looking for solutions.
•The San Diego Chapter's Buttonwillow Instructor School is coming this Spring.  National will cover the travel expenses for two Instructors to go, and Walt has nominated Peter Fanning and Bill Bauer to go.  Walt may also attend at his own expense.

Capital Acquisition - Bill is working on purchasing a container to replace the trailer for storage at Bremerton.  It would appear that a 40' is cheaper than a 20' as they're more plentiful.  He has gotten a few estimates, and will follow up with the Board when he has more information.

SIG Groups and Events
Past Events -
• Martin reports that the E36 tour to see the Eagles went well.  Had a good turn-out.

Upcoming Events -
• Dave Clary, of the Northwest 8's, is planning an 8-series tech session at Car Tender, May 22nd.
• Martin is planning an E36 show & shine for May 23rd in front of Bison Creek Pizza
• Steve reports that there's a possible new Bimmerfest event in Calgary, June 26th.

Banquet
Lance has written a thank-you letter for the charity auction donors.  Please make sure all of the donors get one.  The Banquet Committee will be applying for donation matching funds at the end of the year.

Treasurer's Report
David sent in his report in absentia.  As earlier noted, he has sent the $10,000 check to the MS Society.  The annual reports to National have been sent, and the necessary State and Federal tax forms are also done.  A monthly balance sheet was passed around.  It shows the total assets to be $83,177.92 with $42,594.99 in cash.

Zündfolge
The deadline for the April issue is March 9.
There were no problems with the March mailing, although there were 3200 more than February which is somewhat a surprise.  She is planning on that same amount for the April mailing.
•A monthly budget was passed around.

Roster and Membership
Rick reports that there were 44 new members last month.  National now has 66,697 members, and 8349 associate members, for a total of 75,346

Louis sent in his report in absentia.  He apologizes for his absence, but he's started with a new fire station, and is rather busy.  He is happy to report that the March mailing labels went out without a hitch.  He is also working on deleting bad email addresses from the mailing list.

Website
Dale passed out a proposed policy regarding commercial posts on the bulletin board.

Dale made a MOTION to adopt the policy, as written.  Lucetta SECONDED the motion.  The motion passed unanimously upon VOTE.

Concours
No new news.

Next Board meeting - April 1st (be afraid!)
The next Board meeting will be at the MICC, and Bill Spornitz has volunteered to bring the food.

Roundabout
Tom - I'm missing Formula One!  At least it's taping...
Bill - is working on updating the Driving Events webpage
Lance - the #$%& dog ate the seatbelts in the E36.
Steve - update on Bimmerfest - 400 cars registered with over 1000 people.
Lucetta - ran 2 rallies with Alan, and did very well in both.  The Chapter should consider joining the Rally Council
Ken - needs rally volunteers.  If you're interested, please contact him.
Don - saw a very nice Dakar M3/4 for sale in the North end.
Rick - would like to see the All-Member Meeting picture back on the website home page.  Tom O. agreed to put it back on Monday.
Jim - wonders when Walt is planning to order more Instructor jackets.  Walt assured him it would be soon.
Dave - reports that 8-Fest was covered in Bimmer magazine.
Martin - got a ride in Dane and de-Anna's beautiful new Z4.  They wouldn't let him take care of it while they were on vacation, for some reason.
