Board Meeting Minutes
February 5, 2004

 

The meeting was called to order by President Tom Cox at 7:00 PM at the Mercer Island Community Center. Those in attendance were:

Opening Comments
Tom Cox welcomed everyone.

News from National
The Membership Rewards program has been extended through December.
The next National Board meeting will be in Phoenix in March.
Everyone is reminded to get the necessary forms submitted.

2004 Dates
Tech Fest East, to be held in Reston, VA, May 13-16
Octoberfest, to be held in Pasadena, CA, July 4-9


General Meetings
E46 Tech Session, 2/7 - Ready to go with 40 reservations

6-series Introduction - David working with the local dealerships to get events scheduled.  Bellevue 3/3, Seattle 3/9, BMW NW TBD

All Members Meeting, 3/27 - Going as planned, promo in the next Zündfolge.  The format will be the same as last year.

VRM, ?/? - Wes is planning this event, no date set yet, definitely not March.

Track Safety Tech, 3/28 - moved event to Sykart, first promo in the next Zündfolge

Karting Enduro, 4/25 - going as planned, first promo in coming Zündfolge

Autobody Tech Session, 4/17 - Jim is planning this one, everything is on schedule

TC Kline Tech Session, 5/8 - Jamie Thomas reports that it is a "go" for the 8th, no race cars, unfortunately.  Will be held at Auburn Foreign Car.

Griot's Tech Session, 6/12 - Still happening, Event chair TBA

Peninsula Tour, Maloney Car Collection ?/? - Martin is in the early planning stages for this event, no date set yet.

BMW NW Tech Session 6/19 - no report, Tom Cox will follow up with Doug Haussler as to whether he wants to continue as this event's coordinator.

Scenic America Tour, 6/20-24 - Martin was pleasantly surprised at how popular this event would seem to be.  Extended tour through Idaho to Yellowstone.

Tours and Rally
Rally - The Spring Rally is set for April 24, there will be promos in the March and April Zündfolge.  The College Planning Network Rally (not a Club event) is scheduled for June 10-13 at Hood Canal.  There is a Fall Rally in the planning stages, no date set yet.

Tours - There's an article in the March Zündfolge regarding the upcoming tours: 
• 3/13 Thru the Narrows to Novice Day tour
• 4/10 Trippin' thru the Tulips tour. 
• 5/29 Mountain Twisties tour is still in the early planning stages, and the date may be moved. 
• Dane Martin is planning a Napa Valley wine tour in the late summer, even if he has to go by himself.  We would imagine he will have company.

Track Committee
Upcoming Events - Both the February Instructors' Clinic and the March Novice School are ready to go. 
Capital Acquisition - Bill is working on purchasing a container to replace the trailer for storage at Bremerton.

SIG Groups and Events
Past Events -
• E36 coolant DIY went very well.  3 cars were worked on.  Carb Connection was a very gracious host. 
• The '02 SIG had their anniversary 020202+2 drive last Sunday.  20 cars attended, several up from Oregon.

Upcoming Events -
• Mike is planning to rally the troops for the Greenwood Car Show on June 26th.  Again cars 25 years and older, although some dispensation was made for E30's because they're so cool.
• Marty is planning an E36 show & shine for May 23rd in front of Bison Creek Pizza
• The Seattle 7's have started planning for a caravan down to Bimmerfest May 1st.  All flavors of BMW are welcome.
• The date is set for the E30 picnic - June 27th.  The Chapter has paid for the cabana rental in the amount of $251

SIG Contact Changes -
• The Land Sharks website was added to the SIG contact sheet.

Banquet
The Board congratulates de-Anna on one heck of a Banquet!  Well done!  de-Anna passed out a balance sheet for the event.  Expenses were $9019.08, Dinner income $7157, and Auction income $11,762, for a net income of $9901.32.
• de-Anna Martin made a MOTION to make the donation to the National MS Society, Greater Washington Chapter in the amount of $10,000, including a stipend from the Chapter, not to exceed $200.  Lucetta Lightfoot SECONDED the motion.  Upon VOTE the motion carried unanimously.
• There was some discussion about check-out procedures.  We will focus on making this a smoother process next year.
• de-Anna thanks the Board for all of their help in making this year's Banquet such a huge success.  She is already making plans for next year's!
• de-Anna adds that the hand-made Motorsport tea lights that didn't sell at the Banquet will be available for purchase at the upcoming All Members' Meeting.

Treasurer's Report
A final balance sheet for 2003 and a 2004 budget analysis were handed out.
The bank balance is at $54,000 before Banquet expenses.

Zündfolge
BMW NW and Eastside Bavarian have both signed up for a full year of Zündfolge advertising.  Lucetta started a discussion on increasing the advertising rates.  She would like to see a 5% increase.  The Board supports her in that decision, and has asked her to proceed.  March 9th is the deadline for the April issue.

Board Position Open
Lucetta nominated Alan James to take over as Tech Event Coordinator.
• David Lightfoot made a MOTION to appoint Alan James as the Tech Event Coordinator.  Jim Millet SECONDED the motion.  Upon VOTE the motion carried unanimously.
• Welcome Alan!

Tom Cox also discussed the need for a media spokesperson.  It was decided that he would act in that role as necessary, with Ken Olsen as back-up.

Roster and Membership
There are 54 new local members, and 66,697 members Nationally as of Jan. 22nd. 
The bulk email is now being sent out from the website server.  It was noted that all "bounced" bulk email was being returned to the event coordinator.  We need them to go to the Roster Chair so he can edit the email mailing list.

Website
Please use update@bmwpugetsound.com to communicate necessary changes to the website team.  It will reach all three of them automatically.
• Jim asked about the status of the policy for commercial posts on the Bulletin Board.  Lance promised to follow up on that.
• David encouraged the website team to come up with a long-range development plan for the site.

Concours
The date and location are now confirmed.  July 24th at Cedar River Park, Renton.

Next Board meeting - March 4th
The next Board meeting will be at the MICC, and Mike Ellis has volunteered to bring the food.

Roundabout
Dane - my car's dead.  Help!  (FYI - NOT the BMW)
Steve - don't forget about Bimmerfest caravan
Wes - 3 race cars done, 4 to go!
Greg - kudos on the Banquet, best one he can remember
Rick - Eurofest NW, Feb 21st, 10am-4pm at the Puyallup Fair Grounds
Mike - kudos on the Banquet.  Great food!
Tom Cox - looking for a home for a 2002 from Portland.  Wes expressed interest.
