BMW CCA Puget Sound Board Members, Coordinators and Chairs

Members in attendance

The meeting was called to order by President Tom Cox at 7:05

PRESIDENTS REPORT

Tom reported on the new National Board positions. Please see the current Roundel for a full report.

Tom noted that other clubs have made charitable contributions ranging from $200 to $12,000.

EVENT REPORTS

Bradley's detail session

Held Feb 15. Good turnout reported. Debriefing indicates that members would like more hands on skill learning and less of a presentation of services offered or provided. We will keep this in mind for future events.

Hart Collection and BMW Book Fair

Held Feb 22. Nearly 200 club members and guests visited the Hart Collection and the Book Fair. A great time was had by all, viewing a remarkable collection of cars, including a Ferrari Team Transporter from the 50's. David also had hundreds of BMW books of all types to view.

Karting Enduro

March 23. Proceeding as planned. Proceeds will be donated to Multiple Sclerosis Society. Looking for Event Steward, Ken Hill will investigate this.

Speedware tech

March 8, proceeding as planned, 60 registered to date

Members meeting

March 15, proceeding as planned. Lance will be bringing the E-30 M3 group with display cars. Tom Cox will bring PA system, Lance and Ken Hill will take care of name tags.

Haury's Auto Body tech

April 12, proceeding as planned, 32 registered to date, will cut off at 80.

Six Series Tech

at Strictly BMW. Article is in to Zundfolge, 10 registered to date, Lance will bring videos.

Track Tech

Car Tender May 10th, in planning, article is in to Zundfolge.

Tours

Doug was not able to attend but submitted a written summary.

Carb Connection Dyno-Tech

All set to go. No funds will come through the club, participants will pay directly to Carb Connection.

TRACK

Ken Hill reported for Wes Hill: Disappointed with Track Congress policy changes, especially as they relate to 1. Convertibles are not allowed, 2. Anyone under age 18 not allowed on premises. Please see article to be published in April Roundel for exact and complete report on this topic. Further, there are no classifications or standards for instructors or levels of proficiency. Wes will continue to provide input to the congress.

Tom Cox and Bill Spornitz will join Wes at the west coast instructors clinic.

Instructors School had a good turn out and was summarized to be an excellent learning environment.

Novice School is proceeding as planned. Tech inspection policy will be the same as last year.

SIG GROUPS

June 22, E-30 picnic

E-28's have a meeting upcoming

Z-3 have a Buff'n'Bond day upcoming (we did not ask!)

BANQUET

Kevin Chow was unable to attend. The club has received no final financial report from Kevin. (Please note new adopted Policy under Board Actions below) In general the sentiment of the Board was that this event needs more attention than Kevin is currently able to give it. Several members have offered to chair the Banquet position for next year. The Board will entertain recommendations.

CONCOURS

New shirt order being placed with delivery for members meeting.

Lance is still negotiating locations. Possibilities include Bellevue Downtown Park and a park in Renton.

The Concours Judging committee will present their report and the new rules for the next Board meeting.

ZUNDFOLGE

Next deadline is April 8.

Regarding the enlargement of the Zundfolge to include 4 more pages, Lucetta reports that it will cost about $600 more per issue. The Zundfolge staff report that they still have more material than can fit in the current size issue, especially during the spring when most of the event schedules begin to be established.

After discussion, a MOTION was made by Ken Olsen that the Zundfolge Editor, at her discretion, publish 4 to 6 issues per year with an additional 4 pages. This was SECONDED by Doug Adams and PASSED by majority.

TOURS

Doug Haussler was unable to attend, but sent a written summary.

Port Townsend full, 30 registered cars with short waiting list.

Mt. Rainier tour registration in to Zundfolge. Two dates and two tours are planned both 17th and 18th of May, subject to seasonal opening of park.

Wine Tour is currently being negotiated, dates will be settled soon.

Bimmerfest will see about 7 NW participants

RALLY

Proceeding as planned. There will be two TSD stages and two "Fun Rally" stages designed by Louise Vlasic and Dennis Hogan. 14 cars registered to date. Restaurant is all set. Lance, Louis and Ken H are available to help if needed.

MEMBERSHIP

44 new members in January, 57 in February for a total of 3230. We are still in a growth mode.

TREASURERS REPORT

$36,510 in checking, $6,331 in CD, $11,715 in advertising recievables.

$21,500 has been "pre-paid" for future club activities.

Credit Card payment is now available for Club events. David will coordinate with event chairs to introduce this option.

David suggested that we change banks, as Washington Mutual is not providing the level of service we need. David will investigate options.

The annual CCA form is due on March 31. IRS forms are almost completed. Treasury reduction planning is underway, David will report next meeting.

WEB SITE

Miki was unable to attend.

ACTIONS

After discussion of policy of having a Board member in attendance at each BMW CCA PS event, a MOTION was made by David Lightfoot that a Board Member be present at each BMW CCA PS event. This was SECONDED by Tom Olsson. The MOTION was PASSED by majority VOTE of the Board.

Regarding the participation of Canadian Clubs at the Spring Rally: After discussion of the issue of allowing non-members participate in non-track events, it was decided that this did not need a policy at this time. Bill Spornitz will check into insurance issues regarding this. The Board did agree that "Members from other BMW clubs, both domestic and foreign, are welcome at all non-track events."

The "Web Content" question was withdrawn. No decision at this meeting.

Doug Adams submitted a draft E-mail policy statement. After discussion and minor changes submitted back to Doug, a MOTION was made by Ken Hill to adopt the policies. This was SECONDED by David Lightfoot, and was PASSED by VOTE of the Board. Doug will publish the Policies in the next Zundfolge and on the Web Site.

Regarding the reimbursement of expenses of the Instructors Clinic for Tom Cox and Bill Spornitz, it was noted that Board members are reimbursed for reasonable expenses as a current policy of the Club. It was MOVED David Lightfoot that Tom Cox and Bill Spornitz be sent to the Instructors Clinic to represent the Puget Sound Region, and that the Club reimburse them for reasonable expenses associated with the trip from the Track events budget. This was SECONDED by Ken Hill and PASSED by VOTE of the Board.

Regarding the need to bring financial closure to Club events, a conversation ensued spurred by the inability to close the books yet on the Banquet due to lack of final reporting by Kevin Chow. After discussion a MOTION was made by Ken Olsen that Event Chairs must provide a final accounting to the Treasurer within 30 days of the end of the event. This was SECONDED by David Lightfoot, and PASSED by majority VOTE of the Board. One opposing VOTE was noted.

NEXT MEETING

Will be held at SkyKart. Ken Hill will bring food, Lance will bring plates and soda.

Tom Cox will be unable to attend the next meeting.

ROUNDABOUT

Greg Mierz volunteered to act as back up for Doug, should the need arise. (Obviously 24 years of service is not enough, he needs to make it an even quarter-century, Sec'y)

Lucetta reports that she is still having problems with people using her old e-mail address. All are encouraged to check their addressing.

The Anderson Lukemia Charity, which had support from several members, as well as the Club through the Kiwanis donation, has reached the goal of $180,000. This is a staggering achievement by a volunteer effort, and will enable a potentially life-saving bone marrow transplant to take place.
